Terms & Conditions
These terms apply to every Polaris Institute enrolment. By paying for a course you confirm you have read them and that you meet the course prerequisites.
1. Enrolment & payment
Payment reserves your seat in the selected batch. Seats are limited and allocated on a first-paid basis. For enrollments using a monthly plan, regardless of the payment method selected, you must pay the first and final monthly installments at enrolment.. The final-month installment is held as a last-month tuition deposit and credited toward the final month of the course. This requirement helps Polaris Institute secure faculty commitments and ensures that students enrol responsibly and attend their scheduled classes.
2. Prerequisites
Each course lists prerequisites. By enrolling, you confirm that you meet them. If you are unsure, contact us before paying so we can place you appropriately.
3. Attendance
Regular attendance is mandatory. Extended or repeated absences must be supported by a reasonable explanation and communicated promptly. Students are responsible for self-study and missed material, and catch-up sessions cannot be guaranteed. Concerns about teaching must be raised respectfully and should not be based solely on a student's non-attendance or lack of self-study. Students are encouraged to ask questions as often as needed and make full use of faculty support.
4. Refunds & transfers
All payments made to Polaris Institute are non-refundable. No refund will be issued if a student cancels, withdraws, stops attending, or is unable to complete the course. Transfers to another batch or program are not permitted unless Polaris Institute approves an exception in writing, subject to applicable law.
5. Full-course fee, installments & overdue accounts
Course fees are charged for the entire course, and the full course fee is payable. Polaris Institute offers monthly installments only as a payment accommodation to make the program more accessible, including for students and individuals working part-time. A monthly installment plan does not make the course a month-to-month subscription and does not cancel the remaining balance if you stop attending or withdraw. You must pay every installment on its due date; you cannot skip, pause, or cancel it. A missed payment starts a 3-day grace period, after which course access may be suspended. Polaris Institute will issue a written reminder and make reasonable efforts to collect the overdue amount during the next 30 calendar days. If the account remains unpaid after that period, Polaris Institute may refer the remaining balance, together with the contact and account information reasonably necessary for collection, to a licensed collection agency, subject to applicable law.
6. Early cancellation and notice of enrolment changes
You must notify Polaris Institute in writing of any cancellation, withdrawal, or other change to your enrolment at least 15 calendar days before your next installment due date. If proper notice is received at least 15 calendar days in advance, a $250 early-cancellation fee becomes payable. If notice is received fewer than 15 calendar days before the next installment due date, the full next monthly installment and the $250 early-cancellation fee become payable. These amounts apply regardless of the payment method selected and are separate from any course fees or installments already due, subject to applicable law.
7. Code of conduct
Polaris Institute maintains a respectful, focused learning environment. Students must treat instructors, staff, and classmates professionally. Constructive questions and feedback are welcome; disrespectful, abusive, or disruptive conduct is not. Polaris Institute may remove a student whose conduct materially disrupts the cohort, subject to applicable law and without waiving amounts already due.
8. Commitment to Course enrolment
Once enrolled, you are committed to the selected batch and program. You may not move to a different batch or program without prior written approval. This supports consistency for classmates and allows faculty to plan and deliver the best possible learning experience.
9. Statutory, public & institutional holidays
Classes are not held on statutory or public holidays. Polaris Institute may combine nearby holidays into an announced institutional closure, including a winter closure in December. Instructors are not required to report during an announced closure, and Polaris Institute will communicate closure dates to students in advance.
